Compensation: Starting at $18/hour during onboarding and training period. Compensation increases into the $21–25/hour range based on performance, client portfolio responsibilities, and tenure. Client retention bonus opportunities available.

We are seeking a highly organized, detail-oriented Podcast Client Coordinator to support the successful production, publishing, and management of multiple podcast clients.
This role is ideal for someone who enjoys organization, communication, content coordination, and deadline management in a fast-paced remote environment. You’ll work within established systems and workflows to help ensure episodes, marketing assets, and publishing schedules are executed accurately and on time.
This position does not include audio or video editing responsibilities.
Client & Production Coordination
• Coordinate recording schedules with clients and remote producers
• Manage production timelines and task assignments in Monday.com
• Monitor episode release schedules and publishing deadlines
• Maintain positive and professional client communication
• Only 1 Zoom call per client as a introduction meeting
Quality Control & Content Review
• Proofread show notes, newsletters, graphics, and marketing content
• Review audio and visual assets for formatting, spelling, and design accuracy
• Ensure content meets established client and brand standards
Publishing & Platform Management
• Schedule podcast episodes within hosting platforms such as Captivate.fm
• Upload and schedule content to websites and YouTube
• Create and schedule episode newsletters using platforms such as Mailchimp, MailerLite, Kit, Klaviyo, or similar
• Create episode graphics in Canva using existing templates
• Create audiograms using Headliner or a similar platform
• Generate transcriptions using Descript or a similar platform
Organization & Administrative Support
• Organize files within Dropbox and Google Drive or a similar platform
• Maintain consistent naming conventions and workflow organization
• Use Gmail, Google Drive, and project management systems daily
• Strong proofreading and written communication skills
• Exceptional attention to detail and organization
• Experience using Google Drive and Dropbox
• Comfortable working within project management systems such as Monday.com, Asana, or Trello
• Intermediate to advanced Canva experience
• Basic WordPress experience (editing text, updating images, publishing posts/pages)
• Experience using email marketing platforms such as Mailchimp, MailerLite, ActiveCampaign, Kit, or similar
• Ability to attend occasional Zoom meetings during U.S. business hours
Preferred But Not Required
• Podcast industry experience
• Familiarity with Podcast Specific Tech Platforms
• Workflows, templates, and systems are already established
• Flexible scheduling outside of required meetings and client deadlines
• Weekly onboarding meetings during first 90 days
• Required monthly team meeting: Mondays from 5:00–6:00 PM EST
